Personal Information Collection Statement

This personal information collection statement (“PICS“) sets out the purposes for which your Personal Data may be collected, used, processed, disclosed, transferred and retained by us. If you are below the age of 18, please consult your parents/guardians prior to providing us with your personal information. You must obtain consent from your parents or guardians before providing any personal data to us.

1. Definitions

1.1 Capitalised terms used in this PICS shall have the following meanings:

HKVC“, “we“, “us” or “our” means Hong Kong Virtuoso Choir Limited, a registered non-profit-making charitable organization under the laws of Hong Kong with its registered office at Room 828, 8/F, Metropolitan Industrial & Warehouse Building, 216-218 Texaco Road, Tsuen Wan, New Territories;

“HKVC Content” means any data, material, documents or information, in any format whatsoever, including any data files, text, video clips, sound, audio files, musical compositions, songs, directories or files, including any that have been uploaded on the Site, or can be accessed, viewed or are otherwise made available on or through the Site;

“Personal Data” means any information (directly or indirectly) relating to an individual, from which such individual can be identified, or where an individual is identifiable;

Services” means the processing, administration and provision of the following:

(a) Browsing the HKVC Content provided through the Site; and

(b) Making available the HKVC Content as set out in Clauses 3 and 4 of the HKVC Terms of Use and Registration.

2 “you” or “your” means you, the person who is accessing, using or viewing the Site.

2. Collection of Personal Data

2.1 In order to be able to receive the Services, you will need to provide us with the following categories of Personal Data that we have indicated as being mandatory for you to provide: full name, email address, mobile phone number, school and choir name(s) (where applicable). If you do not provide such mandatory information, or if any information you provide is untrue, inaccurate or incomplete, you may not be able to use or receive the Services.  All other Personal Data you provide is voluntary.

2.2 If you provide us with the Personal Data of another individual in connection with the Services, you confirm that you have obtained the consent of the relevant individual to provide their Personal Data to us, and for their Personal Data to be used, processed, disclosed, transferred and retained by us in accordance with this PICS.

3. Cookies and Automatic Data Collection

3.1 Cookies are small text files that are stored on your browser or device by websites, applications, online media and advertisements when you visit a website. We use cookies and other similar identification technologies such as web beacons and pixel tags for various purposes, including to provide, monitor, analyze, promote and improve the Services. For example, a cookie is used to remember your user preferences and settings to enhance your experience when you return to using our Services, and to improve our understanding of how you interact with the Services. You can exercise your right to choose whether or not to accept cookies by adjusting your browser settings to modify your cookie preferences. Most browsers are set to accept cookies by default, but you are free to remove or block all browser cookies. However, if you turn off your cookies, some of our services may not function properly and you will not be able to receive the most efficient and personalised experience.

4. Use of Personal Data

4.1 We may use the Personal Data you provide for the following purposes (or any of them):

(a) administer, provide, maintain and operate the Services;

(b) maintain, update, administer and process a record of your activities on our Site, including any requests for music scores from our Site;

(c) process, handle or communicate with you in respect of any enquiry, complaint or service support request relating to the Services;

(d) improve our operations through various means, such as the use of analytics tools, research, surveys and feedback forms;

(e) investigate or handle any incidents, claims or disputes, defend or bring any claims or actions, or comply with any applicable laws or any requests from any regulatory authority, court or government authority; and

(f) subject to your consent, to provide you with marketing and promotional materials in connection with the latest news, events, updates, offers, contests and promotions related to activities carried out by HKVC.

5. Disclosure and transfer of Personal Data

5.1 To fulfil any of the above purposes, we may transfer your Personal Data to the following parties, whether inside or outside of Hong Kong:

(a) service providers;

(b) sponsors and donors;

(c) collaborative partners (e.g. co-organisers of events or entities that let us use their venues etc.);

(d) composers and/or the Composers and Authors Society of Hong Kong Ltd;

(e) our legal and professional advisors; and

(f) any government or regulatory authorities or third parties in accordance with any legal or regulatory requirements or any court order applicable to us.

5.2 We may also share your Personal Data with any third party in connection with a merger, acquisition, consolidation, restructuring, sale of assets, financing or any similar scenarios. 

6. Access to and correction of your Personal Data 

6.1 You have the right to request access to and correction any of your Personal Data held by us, by submitting a written request to our Program Manager at hkicf@hkvchorus.org.
