Designed to meet the unique needs of each school, the Choir Clinic is a specialised program featuring experienced choral experts from Hong Kong and abroad. These professionals provide one to two hours of personalised coaching at each school. Throughout the session, the expert offers tailored guidance based on the needs of the choir. This clinic also presents an invaluable opportunity for teachers and conductors to observe the experts in action as they coach a choir on a new piece, helping enhance their conducting skills and rehearsal technique. Each participating school will receive a certificate from the choral experts as recognition of their involvement.

In addition, the Choir Exchange fosters inter-school choral collaboration, enhancing partnerships between schools and broadening perspectives. Schools can select their own exchange partners or opt for HKICF to assign one. Partnering schools will receive training together from the conducting or vocal coach. To maintain the quality of the exchange, each session will be limited to a maximum of two to three participating schools.

Rules & Regulations

The following are the rules and regulations of the Hong Kong Inter-School Choral Festival (“HKICF”)’s Choir Clinic / Exchange.

1.1. By registering to participate in the Choir Clinic / Exchange, the participant represents that he/she has thoroughly reviewed all rules and regulations relating to the Choir Clinic and agrees to strictly adhere to them.

1.2. Emails to participants and notices and procedures pertaining to the Choir Clinic / Exchange published on HKICF’s website and/or social media platforms form part of the Choir Clinic’s rules and regulations.

1.3. HKICF reserves the right to modify the Choir Clinic / Exchange rules and regulations from time to time. All such changes, along with all Choir Clinic / Exchange-related notices, will be published on HKICF’s website and/or social media platforms.

2.1. Once the application is successfully confirmed, request for a reduction in the duration of the Choir Clinic / Exchange will not be entertained.

2.2. Once the application is successfully confirmed, the organiser will send an email notification for payment to the applicant. It is the applicant’s responsibility to check their email and complete the payment within the specified period.

2.3. If applicants wish for the organiser to arrange for a specific expert to conduct the Choir Clinic / Exchange at their school, and the organiser is able to accommodate this request, an additional administrative fee of $500 will be charged.

3.1. For matters not covered by these rules, a final decision consistent with the spirit of these rules will be made by HKICF.

3.2. For the suspension of classes due to infectious diseases/weather or other reasons, rehearsals may be cancelled and there will be no re-scheduling of it. HKICF will also not make any further announcement regarding such cancelled session(s).

3.3. HKICF will not provide a refund under any circumstances.

3.4. HKICF retains the discretion to not allow any individual or group from participating in the rehearsal due to public health concerns.

3.5. Photos and videos of the Choir Clinic / Exchange may be uploaded onto the relevant websites or used as materials for publicity. HKICF is not required to inform participants in advance or pay any related fees.

3.6. Rights to all Choir Clinic / Exchange-related photography, as well as video and sound recording belong to the Hong Kong Virtuoso Chorus Limited.

3.7. HKICF reserves the right to:
(1) Change the Choir Clinic / Exchange schedule, content and instructor without further notice.
(2) Amend the above terms and conditions anytime without further notice. In case of disputes, HKICF reserves the right to make the final decision.

4.1. Inquiries, complaints or comments must be made in writing by the teacher/principal responsible for registration and submitted to HKICF (email: hkicf@hkvchorus.org) on or prior to the date of the final rehearsal session.

4.2. These inquiries, complaints or comments will be dealt with after the rehearsals are concluded. The relevant teacher will receive a written reply and be informed of the follow-up result, if any.

4.3. The letter containing the inquiries, complaints or comments must include the following:
(1) Signature of the school principal or responsible teacher; and
(2) Display of the official school chop.

4.4. No reply will be given for any communication that fails to comply with the above format. HKICF will not respond to any complaints made by other means.

Frequently asked questions

Choir Clinics/Exchanges will be available from December to March. Teachers will be asked their preferred month(s) for the workshops to be conducted when signing up. HKICF will follow up and ask for more specific details at a later time, such as specific dates, the length of the session, and the repertoire chosen by the school.

Participating choirs will have to confirm the specific dates and length of the clinic session before the amount is determined. Payment for the clinic sessions are calculated by an hourly rate of $1500. Schools are recommended to sign up for 1.5 to 2-hour sessions to ensure enough time for the clinicians to work with the school.

Schools are required to pay before the clinic session starts. Additionally, if a teacher has a specific preference for a choral expert to conduct a “choir clinic” as a clinician at the school, an additional $500 administrative fee will be charged if the organiser can accommodate this request.

Teachers will receive a payment reminder by email after signing up for the Choir Clinic. Note that the payment should be settled within 30 days to secure your registration.

The payment for Choir Exchanges will be split between the exchange schools. Payment will not be collected when signing up. Participating choirs will have to confirm the specific dates and length of the exchange session before the amount is determined. The exchange sessions are calculated by an hourly rate of $1500, to be split between the exchange schools. Schools are recommended to sign up for the 2-hour sessions to ensure enough time for the clinicians to work with both schools. Schools are required to pay before the exchange session starts.

Schools are allowed to choose one other school to participate in the Choir Exchange with. If schools have no preference as to which school they would like to attend the workshop with, HKICF will arrange for two schools to group together for the Choir Exchange.

Each school is allowed to prepare up to two songs for the Choir Clinic/Exchange session.

Participating schools are allowed to reschedule their Choir Clinic/Exchange session if it cannot be held under any circumstance. HKICF will try to reschedule the sessions as best as possible, but no refund will be provided if a reschedule is not possible.

HKICF will not provide a refund under any circumstance.
